If you use AI like a search box, asking one chatbot a quick question and closing the tab, you're leaving real leverage on the table. One of these tools will read your entire lease. Another will turn last quarter's sales export into charts. A third is already sitting inside your Gmail.

"Which AI is best?" is the wrong question. Each one wins a different job. Once you know which, you stop dabbling and start handing over real work.

The short answer: Use Claude to read long contracts and documents. Use ChatGPT to analyze your numbers, chart them and make marketing images. If your business runs on Google Workspace, use Gemini for email and everyday office work. If you run on Microsoft 365, use Copilot. One $20 subscription covers whichever job matters most to you.

ChatGPT: your analyst and your design studio

The job it wins: turning a spreadsheet you've been ignoring into answers.

Export your sales, bookings or invoices as an Excel or CSV file and drop it into ChatGPT. It runs real calculations on it in Python and hands back the result. On ChatGPT Plus you also get interactive tables and charts, so "which month was slow and why?" comes back as a chart you can drop into a slide or send to your accountant.

Then it switches jobs. The same app generates images on every plan, like a promo graphic for Saturday's sale. Plus also adds deep research, voice, and extensions for Excel, Word and Google Sheets.

That range is why PCMag and Zapier both name it the best chatbot overall.

Try this first: export last year's sales by month and upload it with this prompt: "Show me revenue by month as a chart, flag the three weakest months, and list what was different about them in this data."

One habit to build: OpenAI itself tells you to "review the generated code, outputs, and assumptions before relying on the result." Use ChatGPT to find the story in the data. When a number goes on an invoice or a quote, put it in a formula you can check.

Claude: the one that reads the whole thing

The job it wins: long documents you'd otherwise skim and sign.

Leases, vendor contracts, insurance policies: Claude takes PDFs up to 1,000 pages, and its context window (how much it can read at once) goes up to 1 million tokens. That's the whole document in one go, not a few pages at a time. Ask it which clauses cost you money, which ones renew automatically and which ones you'd want a lawyer to look at, and it answers from the full text.

It also does the work after the reading. Claude creates real Excel, Word, PowerPoint and PDF files, down to "financial models in Excel with working formulas," on every plan, the free one included. It can also connect to your Gmail, Google Calendar and Drive.

CNET names Claude its best overall chatbot.

Try this first: upload your lease or your biggest vendor contract and ask: "List every clause that creates a cost, a deadline, an automatic renewal or a penalty for me. Quote each one with its section number, and tell me which to raise with a lawyer."

Know its edges: Claude doesn't generate photos or illustrations. It's a reader and a builder, not your designer.

Gemini: the AI already in your inbox

The job it wins: everyday office work, if your business runs on Google Workspace.

You may already have it. On every Workspace Business plan, Gemini in Gmail can draft emails, suggest replies and summarize long threads right inside the message. It also sits in a side panel in Gmail, Docs, Sheets, Slides and Drive.

The Docs trick most people miss: Gemini can match the writing style of a document in your Drive. Point it at your best proposal and new ones come out sounding like you. In Sheets, describe what you need and it writes the formula.

Business Standard and Plus also get Gemini's 1-million-token context window, so long documents are covered without another subscription.

Images are the other reason to look. Google AI Pro, the personal plan, includes Nano Banana Pro, Google's image generation and editing model. PCMag calls Google's image tech "the best we've seen in a chatbot".

Try this first: open the longest customer thread in your Gmail, ask Gemini to summarize it, then click Help me write and say: "Reply confirming the new date, keep it short and friendly, and ask them to approve the updated quote."

Copilot: if you live in Microsoft 365

Copilot Chat comes at no extra cost on Microsoft 365 Business Basic, Standard and Premium, so start there. The paid Copilot add-on puts it inside your apps. Microsoft says that in Excel it "analyzes data, creates charts," and in Outlook it "drafts emails and summarizes lengthy email threads." Reviewers are cooler on it than on the other three. PCMag says it performs "competently, though not exceptionally." But if your files and email live in Microsoft, staying put is the point.

Try this first: open Copilot Chat and ask it to turn your notes from this week's supplier call into a follow-up email with action items and dates.

Before you pay

Prices are per month as of Oct 26 2026: ChatGPT Plus is $20. Claude Pro is $20, or $17 a month if you pay for the year. Google AI Pro is $19.99. Gemini comes with Workspace Business Standard at $14 a user on an annual plan. Microsoft's Copilot add-on is $21 a user, paid yearly.

Business plans, including ChatGPT Business, Gemini in Workspace and Microsoft 365 Copilot, don't train on your data by default. Consumer plans can, and on ChatGPT a thumbs-up or thumbs-down can still send the whole chat to training after you opt out. Check the setting on day one, before customer details go in.

Our take

Pick the $20 tool that matches your biggest headache. Contracts get Claude Pro, and data and images get ChatGPT Plus. Your Gemini or Copilot handles the inbox. Give it real work in week one, not trivia. The owners who do will run circles around the ones still asking whether AI is worth it.
